DroneTrails - Terms and Conditions

By booking a tour with DroneTrails ehf, hereafter referred to as DroneTrails, you agree to the following Terms and Conditions, which govern your participation in the tour. These Terms and Conditions are designed to ensure the safety, enjoyment, and legal compliance of all participants.

1. Booking and Payment

Multi-Day Tours
  • Confirmation payment of 10% is required upon booking to confirm your place on the tour.
  • Your booking is not confirmed until payment is received, and you receive an official confirmation email from DroneTrails.
  • Prices are subject to change.

Day Tours

  • Full payment is required at the time of booking to confirm your spot on a day tour.

  • Your booking is not considered confirmed until payment is received and you receive a confirmation email from DroneTrails.

  • Prices are subject to change.

2. Cancellations and Refunds

Multy-Day Tours
  • Customer Cancellations:
    • Cancellations made more than 120 days before the tour date will receive a full refund excluding a €250 service fee.
    • Cancellations made more than 90 days before the tour will receive a 75% refund.
    • Less than 90 Days before the tour are non-refundable.
Day Tours
  • Customer Cancellations
    • Cancellations made more than 7 days before the tour date will receive a 100% refund.

    • Cancellations made 72 hours before the tour will receive a 50% refund.

    • Cancellations made less than 72 hours before the tour are non-refundable.

3. Weather Conditions

Weather Policy for Multi-Day Tours

  • Unflyable Weather:
    • Due to Iceland’s unique and unpredictable weather patterns, it is more likely than not that there will be days where drone flying is not possible. High winds, heavy rain, and other harsh weather conditions can prevent safe drone operations. This is a natural part of experiencing Iceland’s rugged environment.
    • If weather conditions prevent drone flights, the tour will be converted into a sightseeing tour, ensuring that you can still explore the stunning landscapes and natural wonders Iceland has to offer.
    • Refunds are not issued due to bad weather even in the event that drone flying is not possible for the entire tour. By booking the tour, you acknowledge that the weather in Iceland is unpredictable and may affect the ability to fly drones. However, our team will always strive to make the most of the day by offering alternative experiences.
  • Flexible Itinerary:
    • The safety of our guests is our top priority, and therefore we reserve the right to modify or adjust the tour itinerary based on weather conditions. Our goal is to ensure the best possible experience while prioritizing safety.
    • DroneTrails will always aim to give guests the best opportunity to fly when conditions allow, but participants should understand that in Iceland, weather conditions can change rapidly and without warning.

Weather Policy for Day Tours

  • Due to the unpredictable nature of Icelandic weather, safety is our top priority. For our day tours, if weather conditions make it unsafe or impossible to fly drones, we offer the following options:

    1. Reschedule: You can choose to move your tour to another available date.

    2. Full Refund: If rescheduling is not possible, we will cancel your booking and issue a full refund.

    3. Convert to Sightseeing Tour: If you prefer to continue the experience without drone flying, we can convert your booking into a scenic sightseeing tour of the area instead.

    We aim to be as flexible as possible while ensuring you have a great and safe experience.

4. Eligibility

  • Age Requirement:
    • Participants must be 18 years of age or older to join the tour. By booking and signing this document, you confirm that you meet this age requirement.
  • Personal Drone Flight Responsibility:
    • If participants wish to fly their own drones during the tour, they are solely responsible for the operation of their drones, ensuring that they comply with all relevant Icelandic drone laws and regulations, as well as any instructions provided by DroneTrails staff.
    • Participants must have a valid drone license (if required) and operate their drones in a safe and responsible manner.
    • DroneTrails will not be held liable for any legal infractions, accidents, or damages caused by participants operating their own drones.

5. Safety and Conduct

  • Safety First:
    • Your safety is our main priority. All participants must follow the instructions of their guide at all times. Failure to comply with safety instructions may result in termination of your participation without a refund.
    • Weather conditions in Iceland can be harsh, and participants are responsible for dressing appropriately. We recommend waterproof clothing, warm layers, and sturdy shoes..
  • Liability Waiver:
    • Participants acknowledge that drone flights and outdoor activities involve inherent risks. By signing these Terms and Conditions, you waive any claims against DroneTrails and its staff for any injury, loss (including your drone), or damage that may occur during the tour, except where caused by the negligence of DroneTrails.
  • Zero Tolerance for Harmful or Abusive Behavior:
    • DroneTrails maintains a zero-tolerance policy regarding harmful, abusive, or disruptive behavior. Any verbal or physical abuse toward other participants, guides, or staff will result in the immediate termination of the participant’s involvement in the tour without a refund. This is to ensure a safe and enjoyable experience for all guests.

6. Insurance

  • DroneTrails does not provide travel insurance. It is the responsibility of each participant to obtain personal travel insurance covering medical expenses, cancellations, and personal liabilities during the tour.
  • DroneTrails carries liability insurance for tour activities, but personal coverage is recommended for other unforeseen circumstances.

7. Force Majeure

  • DroneTrails is not liable for any failure to fulfill obligations due to unforeseen circumstances beyond our control, including but not limited to natural disasters, weather conditions, strikes, or government restrictions.

8. Photography and Media Release

  • By participating in the tour, you consent to the use of photos, videos, and drone footage captured by DroneTrails during the tour for marketing and promotional purposes by DroneTrails.
  • If you do not wish to be included in such media, please inform us in writing before the tour begins.

9. Health and Fitness

  • Participants must ensure they are physically fit for the tour. The terrain may include uneven surfaces, moderate walking, and exposure to variable weather conditions.
  • If you have any medical conditions that may affect your participation, please inform us in advance. Participants are responsible for bringing any required medications.
  • If you have any concerns about the physical demands of the tour, please contact us in advance to discuss your needs.

10. Children and Minors

  • Due to the nature of our tours, they are intended for persons of legal age, 18+

11. Liability for Personal Items

  • Participants are responsible for the safety and security of their personal belongings during the tour. DroneTrails is not liable for any lost, stolen, or damaged personal items, including cameras, drones and other valuables.

12. Changes to the Tour

  • DroneTrails reserves the right to make changes to the tour itinerary, accommodation, or transport arrangements in the interest of safety, comfort, or as required by weather or other conditions.
  • Any significant changes will be communicated to participants as soon as possible.

13. Drone Regulations

  • Participants must comply with all Icelandic drone laws and regulations. Unauthorized drone use by participants during the tour is prohibited.

14. Drone photography for marketing purposes

  • If you plan to fly your drone for commercial or marketing purposes during the tour, you are required to contact DroneTrails in advance. Special permits are needed for such activities in many areas of Iceland, and it is your responsibility to notify us prior to the tour so that we can obtain the necessary permits.
  • DroneTrails will assist in acquiring these permits, but please be aware that this will involve an additional fee based on the scope of the commercial use and the areas where filming is planned.
  • Failure to notify us beforehand may result in a restriction from flying your drone for commercial purposes during the tour, and any penalties or fines for unauthorized commercial drone flights will be the responsibility of the participant.

15. Dispute Resolution

  • Any disputes arising from these Terms and Conditions or your participation in the tour will be governed by the laws of Iceland. Any legal action will be brought exclusively in the courts of Reykjanes.

16. Medical and Dietary Requirements

  • Medical Conditions:
    • It is the participant’s responsibility to inform DroneTrails of any medical conditions, allergies, or dietary requirements prior to the tour. We will do our best to accommodate, but participants must carry any necessary medication or equipment.

17. Tour Inclusions

  • What’s Included:
    • Transportation during the tour.
    • Professional guide services.
    • Sightseeing and photography opportunities during both drone and non-drone parts of the tour.
    • Light refreshments or snacks (if applicable).

18. What’s Not Included

  • Personal Expenses:
    • Meals, beverages, and souvenirs are not included unless specifically stated in the tour package.
    • Personal insurance or medical coverage.
    • Flights

19. Participant Expenses and Third-Party Costs

  • DroneTrails is not responsible for any costs incurred by participants outside of the tour package, including but not limited to flights, accommodation, travel insurance, or other travel-related expenses. In the event that DroneTrails cancels a tour for any reason, refunds will only be issued for the portion of the tour booked directly through DroneTrails. We recommend participants purchase travel insurance that covers tour cancellations and other unexpected changes to travel plans.

20. Third-Party Hosts and Collaborations

  • Some DroneTrails tours may be co-hosted with third parties, such as guest influencers, photographers, or creators. In the event that a co-host is unable to attend due to illness, personal emergency, or any other reason, the tour will proceed as planned if the cancellation occurs within two (2) months of the scheduled start date. If the co-host’s withdrawal occurs more than two (2) months before the tour start date, participants will be given the option to cancel their booking for a full refund of the amount paid to DroneTrails.

21. Punctuality

  • Tour Start Time and Punctuality:
    • The tour will depart at the scheduled time. Participants are responsible for arriving on time at the designated meeting point. No refunds will be provided for late arrivals or missed tours due to lateness.

22. Emergencies and Evacuation Procedures

  • Emergency Situations:
    • In the event of an emergency during the tour, participants must follow the instructions of the guide and adhere to any evacuation or safety procedures in place.
    • If the tour involves remote locations, participants should be aware that medical facilities or rescue services may not be immediately accessible.

23. Acknowledgment of Risk and Waiver of Liability

I acknowledge that I have read, understood, and agree to the terms and conditions set forth by DroneTrails. I accept that participating in drone flights and outdoor activities carries inherent risks, and I voluntarily assume all risks and responsibilities associated with this tour.

24. Equipment Responsibility

Participants are welcome to bring and use their own drones during our tours. However, please note the following:

  • Personal Equipment: DroneTrails is not responsible for any loss, theft, or damage to personal drones or related equipment during the tour. It is the responsibility of each participant to operate their equipment safely and in compliance with Icelandic drone regulations.

  • Provided Equipment: If DroneTrails provides drones or related gear, participants are expected to handle the equipment responsibly. Any damage caused by misuse or neglect may result in repair or replacement charges at the discretion of DroneTrails.

25. Tour Changes & Permits

While we do our best to deliver the advertised itinerary and attractions, certain locations and activities may be subject to approval or restriction by Icelandic authorities. These include, but are not limited to:

  • The Environmental Agency of Iceland

  • Regional parks

  • The Icelandic Transport Authority

DroneTrails reserves the right to alter, substitute, or remove specific sites or activities from the tour itinerary without prior notice if permits are denied or revoked, or if legal access is restricted. These changes may occur due to environmental protection measures, drone no-fly zones, road closures, weather conditions, or other factors beyond our control.

We cannot guarantee access to all advertised attractions for these reasons, but we always strive to offer an experience of equal quality and value.
